Payment Policy 

Viva Riva

This Payment Policy explains how payments, deposits, and revenue share work when purchasing or operating a Viva Riva vending machine.

1. Payment Methods

Viva Riva offers two ways to pay for machines:

1.1 Pay by Invoice (Bank Transfer)

Hotels and businesses can request an invoice and pay by bank transfer.
Orders begin once payment or deposit is received by Van Rossum Lda.

1.2 Pay Online (Card / Stripe / Apple Pay / Google Pay)

Clients may also purchase machines, wraps, or accessories directly through the online store using secure checkout.

All payments are processed in EUR (€).

2. Payment Terms : Purchase Model

If you buy the machine outright:

  • 100% upfront payment is required

  • Custom branding requires payment before production

  • Machines are non-refundable after manufacturing begins

You stock the machine with your own products.

3. Payment Terms : Operated Model

In the operated model, hotels do not pay for products or refills.

3.1 Machine Deposit

A deposit is required to activate the operated service.
The machine remains property of Van Rossum Lda.

3.2 No Refill Invoices

Hotels do not pay for product stock.
Hotels do not pay for weekly refill packs.
Hotels do not pay product costs upfront.

All revenue from guest purchases is collected directly by Viva Riva.

3.3 Revenue Share (Hotel Earnings)

Each month:

  1. Viva Riva receives all machine revenue.

  2. We calculate your hotel's revenue share.

  3. We pay the hotel its revenue share via bank transfer.

Hotels receive money ; they do not pay money.

3.4 No Hidden Fees

There are no ongoing costs, no refill charges, and no minimum orders.

4. Online Store Orders

If you purchase accessories, wraps, or add-ons through the online shop:

  • payment is required at checkout

  • VAT is applied according to Portuguese law

  • digital invoices are automatically issued

Machines and custom wraps are not returnable after production.

5. Order Confirmation

An order is confirmed when:

  • online checkout payment is approved, or

  • invoice/transfer payment is received

You receive:

  • an order confirmation email

  • a digital invoice

  • customization instructions (if applicable)

6. VAT, Currency & Legal Compliance

  • All prices are in EUR (€)

  • VAT is applied as required by Portuguese law

  • Payments are processed securely through encrypted systems

7. Security Deposits

For operated (managed) machines:

  • the deposit is held until the machine is returned

  • deductions may occur for damage, vandalism, or missing parts

  • deposits are refunded within 14 days after machine inspection

8. Late Payments (Revenue Share Adjustments)

Because hotels do not pay invoices in the operated model, late payments only apply to:

  • purchase model machine invoices

  • custom branding invoices

If these invoices are not paid on time, production or installation may be delayed.

9. Chargebacks & Fraud

Any fraudulent payment dispute may result in:

  • cancellation of the order

  • machine delivery being paused

  • recovery of losses through legal channels
